Note: Some fields may not be available in all versions of QuickBooks Online or may need to be set up as custom fields in your account. If a field listed below does not appear as an option, check your custom field settings or contact your QuickBooks admin for assistance.
Sign in to QuickBooks Online and navigate to the Reports menu on the left sidebar. In the search bar, type “Customer Contact List” and select it from the results.
By default, this report shows active customers. To confirm, click the Customize button. In the Filters section, ensure that only active customers are selected. If you see a status filter, set it to "Active" or ensure inactive customers are excluded.
Click Customize (if not already open). Under Rows/Columns, choose Change Columns. Check the boxes for:
Customer ID
Customer First Name
Customer Last Name
Customer Name
Customer Phone Numbers
Customer Phone Number Primary
Street
Unit
City
State
Zip
Country
Membership Type
Member Status
Club Member Status
Click Run Report to update the view.
Note: If you do not see fields such as Customer ID or Membership information, these may be stored as custom fields and must be manually added via your QuickBooks settings.
Click the Export icon at the top of the report and select Export to Excel. Save the file with a name like CustomerList_2024.xlsx.
Navigate to the Reports menu. In the search bar, type “Transaction List by Customer” and select it.
At the top of the report, choose a Date Range that includes all invoices you want. Use “All Dates” if necessary.
Click Customize, then go to Filters. Under Transaction Type, select Invoice. You can also use the Customer filter if you want to include only specific customers.
Click Run Report.
In the Customize panel, under Change Columns, check:
Customer ID
Invoice Date
Invoice #
Customer Name
Customer First Name
Customer Last Name
Location Street Address (may appear as Shipping or Delivery Address)
Location City
Location State
Location Zip
Invoice Total
Click Run Report again to refresh with the selected columns.
Note: Address fields may be shown as a single combined field (e.g., Shipping Address). You may need to split these into separate columns (Street, City, State, Zip) manually in Excel after export.
Click the Export icon and choose Export to Excel. Save the file with a name like InvoicesByDate_2024.xlsx.
